1 · Who this Policy covers

PayRecruiter is a service of Pulivarthi Group LLC ("PayRecruiter," "we," "us," or "our"). This Policy explains what personal information we collect, how we use it, who we share it with, and the rights and choices you have. It applies to payrecruiter.com, the PayRecruiter platform, and related communications (together, the "Services").

We handle information about five groups of people:

  • Candidates — clinical healthcare professionals introduced to job opportunities through the platform.
  • Clinical Talent Partners — independent recruiting professionals who use the platform to submit candidates.
  • Growth Partners — independent business-development professionals who bring healthcare employers onto the platform and manage those relationships.
  • Hiring clients — the people at clinics, hospitals, and practices that hire through the platform.
  • Visitors — anyone browsing payrecruiter.com.

Where a section applies only to one group, we say so. If you have a disability and need this Policy in an alternative format, contact us at privacy@payrecruiter.com.

2 · Information we collect

Information you provide

  • Account and contact details — name, email address, phone number, and login credentials.
  • Professional information (Candidates) — resume/CV, employment history, education, licenses and certifications, specialty and role preferences, location and relocation preferences, compensation expectations, notice period, and work authorization status.
  • Professional information (Talent Partners) — clinical and recruiting background, vertical specialty, and references.
  • Professional information (Growth Partners) — business-development background, healthcare industry experience, and references.
  • Payment and tax information (Talent and Growth Partners) — tax forms such as W-9 or W-8BEN, and bank account details for payouts, collected only through secure forms — never by email.
  • Communications — messages, emails, and support requests you send us.

Information from other sources

  • From Talent Partners — candidates are typically introduced by a Talent Partner, who is contractually required to obtain the candidate's express written consent, confirmed by email, before submitting them for any specific role.
  • From employers and public sources — job posting information from client employers, via direct integrations or their public career pages.
  • From service providers — identity and authentication signals from our login provider, and email delivery status from our email providers.

Information collected automatically

  • Usage and device data — IP address, browser type, device information, pages viewed, and actions taken on the Services.
  • Cookies — strictly necessary cookies for login sessions and security, plus list analytics tools here, or state "no analytics cookies". Disabling essential cookies may prevent you from logging in.

What we do not collect

No medical records or patient information. PayRecruiter recruits healthcare professionals; it is not a healthcare provider and does not process protected health information (PHI). If PHI is ever encountered incidentally, our policies require that it not be stored or shared and that the incident be reported.

We do not collect biometric data, precise geolocation, health data, or information about race, religion, or sexual orientation. Work authorization status is collected only to confirm eligibility for roles you consent to. No data from minors — the Services are for working professionals and we do not knowingly collect information from anyone under 18.

3 · If you are a Candidate

Because candidates usually reach us through a Talent Partner rather than directly, here is exactly what happens:

  • Introduction. A Talent Partner who knows your specialty identifies a role that may fit you. Before anything is submitted, they must obtain your express written consent — confirmed by email — for that specific role.
  • Submission. With your consent on record, your profile is submitted through the platform. Our matching engine generates a fit score to help prioritize review; the score never accepts or rejects you — people make those decisions.
  • Employer review. Only the client employer for the role you consented to sees your profile. Your information is not browsable by other employers, and Talent Partners cannot export or store your data outside the platform.
  • Your control. You may withdraw consent for any submission at any time by contacting us or your Talent Partner, and you may request access, correction, or deletion at any time (see Section 8).

4 · How we use information

  • Operate the marketplace — create and manage accounts, present job opportunities, process submissions, and manage placements.
  • Match candidates to roles — score candidate-to-role fit using credentials, experience, specialty, and geography.
  • Process payments — calculate and pay Talent and Growth Partner success fees, and meet tax reporting obligations.
  • Communicate — send login verification codes, account notices, submission and placement updates, and support responses.
  • Maintain quality and safety — verify credentials and eligibility, enforce submission standards, and prevent fraud, spam, and duplicate or fake listings.
  • Improve the Services and comply with law — including legal, regulatory, tax, and audit obligations.

We do not use your personal information for purposes materially different from those above without notifying you first.

Automated processing and profiling

AI assists, people decide. We use software, including AI-based scoring, to help rank how well a candidate may fit a role. These scores assist human decision-making; they never automatically accept or reject anyone. Because no decision producing legal or similarly significant effects is made solely by automated means, state-law profiling opt-out rights are generally not triggered — but you may always contact us to request human review.

5 · When we share information

We do not sell personal information, we do not share it for cross-context behavioral (targeted) advertising, and we have not done either in the preceding 12 months. We share information only:

  • With client employers — when a candidate has consented to be submitted for a specific role, and only with that employer.
  • With Talent Partners — the job postings and candidate information needed to perform recruiting work, under strict contractual confidentiality, platform-only access, and a prohibition on exporting or storing candidate data off-platform.
  • With Growth Partners — client and job-posting information needed to manage their client relationships, under the same obligations.
  • With service providers — limited to cloud hosting and infrastructure, authentication, database hosting, email delivery, business productivity tools, and payment processing. They may use your information only to provide services to us, and all Services data is hosted in the United States. A current list is available on request.
  • For legal reasons — when required by law, subpoena, or court order, or to protect the rights, safety, or property of PayRecruiter, our users, or others.
  • In a business transfer — if PayRecruiter or Pulivarthi Group is involved in a merger, acquisition, or sale of assets. We will notify you before your information becomes subject to a different privacy policy.

We may create de-identified or aggregated data (for example, placement statistics by specialty or region) for lawful business purposes, and we commit to maintaining it in de-identified form without attempting re-identification.

6 · Data retention

We keep personal information only as long as needed for the purposes above:

You may request deletion at any time (Section 8). We will honor it except where retention is required by law or an active contractual obligation — and we will tell you which exception applies.

7 · Security

Our measures include encrypted connections (HTTPS/TLS), authentication with one-time verification codes, role-based access, and contractual data-handling standards for every Talent Partner — including mandatory use of company-controlled email for all candidate communications and a ban on off-platform storage of candidate data.

We will never ask you to email bank details. Payment and tax information is collected only through secure forms. Data is hosted in data centers located in the United States.

No system is perfectly secure. If we learn of a breach affecting your personal information, we will notify you as required by applicable law.

8 · Your privacy rights

If you are a resident of a U.S. state with a comprehensive privacy law — including California, Colorado, Connecticut, Delaware, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, and Virginia — you may have the right to:

  • Know / access the personal information we hold, the categories collected, the purposes, and the categories of third parties it was disclosed to.
  • Correct inaccurate information and delete your information.
  • Portability — receive a copy of your information in a usable format.
  • Opt out of the sale of personal information, targeted advertising, and certain profiling. We do none of these — but the right exists and we will honor any request.
  • Non-discrimination — exercising your rights will never result in worse service or different treatment.

In addition, anyone — regardless of state — may opt out of marketing communications (transactional messages like login codes will still be sent), and candidates may withdraw consent to be represented for a role at any time.

How to exercise your rights

Email privacy@payrecruiter.com with your request. We verify identity — typically by confirming control of the email address associated with your information — then respond within 45 days, extendable once by 45 days where reasonably necessary. We will tell you if we need the extension. Authorized agents may submit requests with proof of authority.

Appeals

If we decline all or part of your request we will explain why, and you may appeal by replying within 60 days. We respond within the time required by your state's law, and if we deny the appeal we will provide a way to contact your state Attorney General.

Universal opt-out signals

We honor Global Privacy Control (GPC) and similar legally recognized opt-out preference signals, and treat browser "Do Not Track" signals the same way. Because we do not sell personal information or use it for targeted advertising, a GPC signal does not change how we treat your data — but we recognize and record it as a valid opt-out.

9 · International visitors

The Services are operated from the United States and intended for users in the United States. If you access the Services from outside the U.S., your information will be transferred to and processed in the U.S., where privacy laws may differ from those in your jurisdiction.

10 · Third-party links

The Services may link to websites we don't control — for example, an employer's own careers site. Their privacy practices are governed by their own policies, and this Policy does not apply to them.

11 · Changes to this Policy

We may update this Policy from time to time. We will post the updated version here with a new "Last updated" date, and for material changes we will provide notice through the Services or by email before the change takes effect. Prior versions are available on request.
